Why cold capping

Losing your hair isn't "just cosmetic."

For many patients, hair loss is one of the most visible and emotionally difficult parts of chemotherapy. It affects how you see yourself — and whether you get to decide who knows about your diagnosis.

Cold capping — cooling the scalp before, during, and after infusions — can significantly reduce hair loss for many patients. It's been used safely for decades, and we believe every patient deserves to know it's an option.

Whether you're weeks from your first infusion or just starting to research your options, we're here to help you understand if cold capping is right for you.

How it works

Cold capping, step by step.

Cold capping works by cooling your scalp before, during, and after each chemotherapy infusion. The cold narrows blood vessels in the scalp and slows the activity of hair follicle cells, which reduces the amount of chemotherapy that reaches them.

Reach out before your first infusion

Contact us as soon as you know your treatment schedule — ideally two or more weeks before your first infusion. We'll walk you through how cold capping works, answer your questions, and help you decide if it's a good fit for your treatment plan.

Your kit ships to your door

We ship your complete cold capping kit anywhere in the contiguous United States. It arrives before your first treatment with the caps, coolers, accessories, and step-by-step instructions. The one thing you'll pick up locally is dry ice for each treatment, and we'll show you exactly how.

We train you and your care partner

Before your first session, we schedule a virtual walkthrough with you and whoever will be helping you on treatment days. You'll practice fitting the cap, learn the timing, and know exactly what to expect — no guesswork on the day it matters.

Cap on treatment days

On each infusion day, you'll begin wearing the cold cap before your infusion starts, keep it on throughout, and continue for a period afterward. Caps are rotated on a set schedule to keep your scalp at the right temperature. Our concierge team is available virtually if questions come up.

Ongoing support through treatment

Cold capping is a commitment, and we stay with you for the duration. Check-ins, hair care guidance between sessions, and a real person to call when you need one.

Return the cooling equipment

When treatment ends, send back just the cooling equipment — the cold caps, both coolers, the cold gloves & socks, and the head straps — with the prepaid label we email you. Billing stops once the carrier scans your return. Everything else in the kit is yours to keep.

The kit

Everything you need, in one box.

Your Dalthera kit is a complete scalp cooling system — the caps, the cooling equipment, and every supporting detail down to the pillowcase. It arrives at your door before your first infusion, cleaned, inspected, and ready, so treatment days are about showing up, not shopping lists.

Thought through, start to finish

Built around real treatment days.

We packed this kit the way a care partner would: four caps so a properly chilled one is always ready in the rotation, a rolling cooler that moves easily from the car to the infusion chair, and the small comforts most people don't know they'll want until they're there.

Every item is included in your monthly rate. The only thing you'll buy yourself is dry ice, picked up locally before each treatment. We'll show you where to find it and how to handle it safely.

How long will I need it? Your subscription simply runs for the length of your chemotherapy — typically 3 to 6 months, depending on your treatment plan. When you're done, you cancel and return the cooling equipment (cold caps, both coolers, cold gloves & socks, and head straps — the rest of the kit is yours to keep) with our prepaid label. Billing stops once the carrier scans your return; if it hasn't been scanned by your next billing date, that month is charged. Many patients also choose to continue capping for a few weeks after their final infusion; we'll help you decide what's right for you.

How billing works: your first $349 charge is made at signup. Your subscription then renews automatically on the same day each month, charged to the card on file, until you cancel and your equipment is returned. There's no deposit. Dry ice isn't included; you'll buy it locally for each treatment. Equipment that isn't returned, or comes back damaged beyond normal wear, is charged at replacement cost. See our Cancellation, Refund & Shipping Policy and Terms of Service.

Can insurance help? Some insurers reimburse scalp cooling costs, and cold capping may be eligible for HSA/FSA funds. We provide itemized receipts to support reimbursement claims. Read more on our Insurance page →

Our story

Why Dalthera exists.

Dalthera started the way you may have guessed: with someone we love sitting in an infusion chair. We watched firsthand how much of the chemotherapy experience is out of a patient's control — and how much losing your hair can compound everything else. It affects how you see yourself in the mirror, how strangers treat you, whether you get to decide who knows about your diagnosis and when.

Cold capping gave someone we love a piece of normalcy back. We started Dalthera so more patients could have that choice.

When we looked into cold capping, we found it worked — but the experience around it was harder than it needed to be. Confusing pricing. Equipment without real guidance. Patients and exhausted care partners left to figure out timing and technique from internet forums the night before an infusion.

We built Dalthera to be what we wished existed: a complete kit that shows up at your door, honest pricing you can understand in ten seconds, and a real person who teaches you exactly what to do and stays available through your entire treatment.

We're based in Dallas–Fort Worth and we ship across the contiguous United States, because where you live shouldn't determine whether you have this option.

What we stand for

One less thing to carry.

Chemotherapy asks so much of you — the appointments, the side effects, the decisions, and the quiet weight of all of it. We can't take that away. But we can make sure one part of it is handled, completely and with care.

From the moment you reach out, cold capping becomes our job: your kit arrives ready, your care partner knows exactly what to do, and a real person is there whenever you need one. Our goal is simple — to be the one thing during treatment that is fully taken care of for you.

The Dalthera founders, a black-and-white portrait of the two of them dressed up and smiling

We'd be honored to support you.

If you or someone you love is facing chemotherapy, reach out. Even if Dalthera isn't the right fit, we'll point you in the right direction.

Insurance

Insurance & reimbursement.

Coverage for scalp cooling is improving, but it's still inconsistent. Here's an honest picture of where things stand and how we help.

Where coverage stands today

Scalp cooling has gained meaningful recognition in recent years. A growing number of insurers have begun covering or reimbursing scalp cooling costs, and several states have passed or introduced legislation requiring certain insurance plans to cover it. Coverage varies significantly by state, by insurer, and by individual plan.

The practical reality: today, most patients pay out of pocket first and pursue reimbursement afterward. Some receive partial or full reimbursement; others don't. We'd rather tell you that plainly than let you be surprised.

How we help

While we can't file claims on your behalf or guarantee any outcome, we make the reimbursement process as smooth as we can:

🧾

Itemized Receipts

We provide detailed, itemized receipts for your monthly payments, formatted to support insurance reimbursement claims.

💳

HSA / FSA

Scalp cooling expenses may qualify for payment or reimbursement through Health Savings Accounts and Flexible Spending Accounts. Check with your plan administrator.

📋

Guidance on Asking

We'll share tips on what to ask your insurer, what documentation typically helps, and how other patients have approached reimbursement requests.

Questions worth asking your insurer

If you want to explore coverage before starting, these questions are a good place to begin:

• "Does my plan cover scalp cooling or cold capping during chemotherapy?"

• "Is scalp cooling reimbursable under my plan as a treatment-related expense?"

• "What documentation do you need for a reimbursement claim?"

• "Is there a state mandate in my state that applies to my plan?"

The information on this page is provided for general educational purposes only and does not constitute insurance, financial, or medical advice. Coverage and reimbursement vary by plan, insurer, and state, and nothing here is a guarantee of coverage or reimbursement. Please confirm details directly with your insurance provider.

FAQ

Questions, answered honestly.

These are the questions patients and care partners ask us most. If yours isn't here, reach out — a real person will answer.

For many patients, yes — clinical studies have shown that scalp cooling can significantly reduce hair loss for many people undergoing certain chemotherapy regimens. Results vary based on your specific drugs, dosage, hair type, and how consistently the capping protocol is followed. We'll talk honestly with you about what to expect given your treatment plan, and we'll never overpromise.

Scalp cooling has been used for decades and is generally considered safe for most patients with solid tumors. It is not appropriate for patients with blood cancers (such as leukemia, lymphoma, or multiple myeloma), cancer involving the scalp or skull, planned radiation to the skull or whole brain, or certain cold-sensitivity conditions such as cold agglutinin disease or cold urticaria. Always discuss cold capping with your oncologist before starting — we encourage it, and we're happy to provide information you can bring to that conversation.

We'll be honest: the first 10–15 minutes of each cap are cold. Most patients describe an intense chill that fades to numbness, and say it becomes very manageable after the first session or two. Your kit includes comfort items to protect your forehead and ears, and we share practical tips (warm blankets, warm drinks, distraction) that genuinely help.

Yes — cold capping works best with a care partner (a spouse, friend, family member) who handles cap rotation on treatment days. Caps need to be swapped on a schedule, and it's hard to do alone. We train your care partner right alongside you so they feel confident, not burdened.

Cold capping must begin with your first infusion to be most effective — you can't start partway through treatment and protect hair that's already been exposed. That's why we encourage reaching out as soon as you have a treatment schedule, ideally two or more weeks before your first infusion.

Most patients who cold cap successfully still experience some shedding — that's normal and expected. The goal is retaining enough hair that you feel like yourself and hair loss isn't visible to others. Many patients achieve that; some retain more, some less. We'll always give you a realistic picture rather than a sales pitch.

Gentle is the rule: less frequent washing, cool water, no heat styling, no coloring, minimal brushing, and satin or silk pillowcases. Your kit includes a full hair care guide, and our concierge team can answer specific questions as they come up throughout your treatment.

Normal wear from regular use is completely expected. If anything arrives missing or damaged, tell us within 48 hours and we'll replace it at no charge. If something breaks during treatment, contact us and we'll get you a replacement quickly so your treatment schedule isn't disrupted. Equipment that isn't returned, or comes back damaged beyond normal wear and tear, is charged at replacement cost, as explained in our Kit Rental & Return Agreement.

No. Dry ice can't be shipped with the kit, so you'll buy it locally before each treatment (many grocery stores carry it). Your kit includes insulated dry ice gloves and a thermometer, and we'll walk you through buying, transporting, and handling it safely during your training.

Anytime, online: visit Manage or cancel your subscription, or email us. We'll confirm by email and send a prepaid return label. Your subscription ends when the carrier scans your returned equipment. If that happens before your next billing date, you won't be charged again. Monthly fees aren't prorated. Details are in our Cancellation, Refund & Shipping Policy.

We ship from Dallas–Fort Worth to all of the contiguous United States (the lower 48 states and DC), and return shipping is included when your treatment is complete. We can't ship to Alaska, Hawaii, U.S. territories, military APO/FPO addresses, or P.O. boxes yet. If you're outside our area, email us and we'll let you know as soon as we can serve you.

Sometimes. Coverage is improving but inconsistent — some insurers reimburse scalp cooling, and some states have passed legislation requiring coverage under certain plans. Most patients today pay out of pocket and pursue reimbursement with the itemized receipts we provide. See our Insurance page for a fuller picture.

Terms of Service

Ten Sails LLC d/b/a Dalthera · Effective October 12, 2026 · Dallas, Texas

1. Acceptance of Terms

These Terms of Service (“Terms”) are a binding agreement between you and Ten Sails LLC, a Texas limited liability company doing business as Dalthera (“Dalthera,” “Company,” “we,” “us,” or “our”). By purchasing a subscription, creating an account, signing up through our website, or otherwise using the products and services offered by Dalthera, you (“Customer,” “Patient,” or “you”) agree to these Terms. If you do not agree, do not use our services.

These Terms incorporate the following documents, each of which you must review and, where indicated, sign before your Kit ships: the Kit Rental & Return Agreement, the Informed Consent, Assumption of Risk & Waiver of Liability, and our Privacy Policy (together with these Terms, the “Agreement”). If these Terms conflict with the Kit Rental & Return Agreement on a matter concerning the Kit, its return, or charges for unreturned or damaged equipment, the Kit Rental & Return Agreement controls.

2. Description of Service

Dalthera provides a monthly subscription that rents a cold capping kit to people undergoing chemotherapy who wish to try to reduce chemotherapy-related hair loss. The service includes:

  • A kit of reusable cold capping equipment and supporting personal care supplies (the “Kit”), shipped to you
  • Written and video instructional materials
  • Virtual concierge support for questions about using the Kit

Dry ice is not included in the Kit. You are responsible for purchasing dry ice locally for each treatment, following our instructions.

Dalthera is not a medical provider. We do not administer chemotherapy or cold capping, do not supervise treatment sessions in person, and do not provide medical advice. All cold capping is performed by you, your caregivers, or clinical staff at your infusion location, using the equipment and instructions we provide.

3. Eligibility

To subscribe, you must be at least 18 years old and either (a) a patient undergoing or scheduled to undergo chemotherapy who is at least 18 years old, or (b) a caregiver or authorized representative subscribing on behalf of such a patient with the patient’s consent. By subscribing, you represent that these requirements are met. Our service is not available for patients under 18.

Cold capping is not appropriate for everyone. You may not use the Kit if your treating physician has advised against scalp cooling, or if the patient has a blood cancer (such as leukemia, lymphoma, or multiple myeloma) or any other condition listed as a contraindication in the Informed Consent, Assumption of Risk & Waiver of Liability. We may decline or cancel any subscription if we reasonably believe the Kit is not appropriate for the patient, and will refund any amounts paid for a month in which the Kit has not shipped.

4. Your Account

You agree to provide accurate, current information when you sign up and to keep it updated, including your shipping address, email, phone number, and payment method. You are responsible for activity on your account and for keeping your login credentials confidential.

5. Pricing & Billing

  • Monthly Subscription Fee: $349 per month, plus any applicable sales tax.
  • No Deposit: No deposit is required. Instead, you authorize us to keep your payment card on file and charge it as described in these Terms and the Kit Rental & Return Agreement.
  • Billing Cycle: Your first monthly charge is made at signup. Subsequent charges are made automatically on the same calendar day each month (or the last day of the month, if that day does not exist) until your subscription ends as described in Section 8.
  • Price Changes: We may change subscription pricing prospectively. We will notify active subscribers by email at least 30 days before a change takes effect on their account, and you may cancel before the change takes effect.
  • Insurance & HSA/FSA: Dalthera does not bill insurance and does not guarantee that any insurer, health savings account, or flexible spending account will reimburse you. On request, we will provide an itemized receipt you may submit for reimbursement.

6. Automatic Renewal & Card-on-File Authorization

By subscribing, you authorize Dalthera and its payment processor, Stripe, to store your payment card and to charge it, without further approval from you for each charge, for: (a) recurring monthly subscription fees; (b) applicable taxes; and (c) replacement or repair charges for Core Equipment that is not returned or is returned damaged, as described in the Kit Rental & Return Agreement. We will email you a receipt for every charge. You may cancel your subscription at any time as described in Section 8; this authorization continues for any amounts owed under the Agreement after cancellation.

7. Failed Payments

If a charge is declined, we will notify you and may retry the charge. If payment is not received within 10 days after our notice, we may suspend concierge support and will treat your subscription as cancelled, which starts the return process described in the Kit Rental & Return Agreement. You remain responsible for all amounts owed. You agree to keep a valid payment card on file for as long as you possess any Core Equipment.

8. Cancellation & End of Subscription

You may cancel at any time by emailing Jack.Hooper@dalthera.com or by using the cancellation option in your online account, if available. We will confirm your cancellation by email and send you a prepaid return shipping label.

  • When billing stops: Because the monthly fee covers your rental of the Kit, your subscription ends on the date the carrier first scans your returned Core Equipment using our prepaid label. If that scan occurs before your next billing date, you will not be charged again. If it does not, the monthly fee continues to bill on your normal billing date until the return is scanned.
  • Unreturned equipment: If Core Equipment has not been scanned for return within 30 days after you cancel, we will stop monthly billing and charge the replacement cost of the unreturned items, as described in the Kit Rental & Return Agreement.
  • No partial-month refunds: Monthly fees are not prorated or refunded for partial months, except as stated in Sections 3 and 10 or as required by law.

We may cancel your subscription at any time with notice to you, including for non-payment, violation of the Agreement, or if we reasonably believe continued use is unsafe. If we cancel for a reason other than your breach, we will refund any fees paid for the period after cancellation.

9. Shipping & Delivery

We ship within the United States only. Standard shipping of the Kit to you and the prepaid return label are included in your subscription. Because cold capping must begin with your first eligible infusion, we strongly recommend subscribing well before your first treatment date. Delivery dates are estimates; we are not responsible for carrier delays, but we will work with you in good faith to resolve delivery problems. Risk of loss passes to you on delivery to your shipping address.

10. Kit Condition on Arrival

Please inspect your Kit as soon as it arrives. If any item is missing, damaged, or defective, notify us within 48 hours of delivery and we will replace it at no cost. If we cannot deliver a working Kit before your first scheduled treatment, you may cancel and receive a full refund of the first month’s fee once the Kit is returned.

11. Kit Ownership

The Core Equipment remains the property of Dalthera at all times. Your subscription grants you a limited, personal, non-transferable right to use the Kit during your subscription. You may not sell, sublease, lend, or transfer the Core Equipment to anyone else, or use it for anyone other than the patient named on your account. Personal care items identified in the Kit Rental & Return Agreement are yours to keep.

12. Not Medical Advice; Emergencies

Nothing provided by Dalthera — including instructional materials, videos, concierge support, or any communication with our team — is medical advice, diagnosis, or treatment. You must consult your oncologist or treating physician before beginning cold capping and throughout your treatment, and follow your care team’s instructions if they differ from ours.

13. Concierge Support

Concierge support is available by email and other channels we designate, during the hours posted on our website. Support is limited to questions about using, caring for, and returning the Kit. Concierge staff are not licensed medical professionals, and response times are not guaranteed.

14. Infusion Center Policies

Many infusion centers have their own rules about cold capping, outside equipment, coolers, and dry ice. You are responsible for confirming with your infusion center in advance that you may use the Kit there and for following its rules. Dalthera is not responsible if a facility does not permit use of the Kit, and fees are not refunded for that reason.

15. Customer Responsibilities

You agree to:

  • Use the Kit only as described in our instructional materials and only for the patient named on your account
  • Purchase, transport, store, and handle dry ice safely and only as instructed
  • Consult your physician before and during use
  • Stop use immediately and seek appropriate medical care if any adverse reaction occurs
  • Keep the Core Equipment clean and in good condition and return it as required by the Kit Rental & Return Agreement
  • Make sure anyone who helps you apply the caps or handle dry ice has read our safety instructions

16. Disclaimer of Warranties

17. Limitation of Liability

Additional terms regarding assumption of risk and release of liability are set out in the Informed Consent, Assumption of Risk & Waiver of Liability, which must be signed before the Kit ships.

18. Indemnification

You agree to indemnify and hold harmless Dalthera and its owners, members, employees, and contractors from any third-party claims, damages, or expenses (including reasonable attorneys’ fees) arising from your misuse of the Kit, your handling of dry ice, your allowing anyone else to use the Kit, or your violation of the Agreement.

19. Intellectual Property

The Dalthera name and logo and all content we provide, including instructional videos, written guides, and website content, are owned by or licensed to Ten Sails LLC and are protected by intellectual property laws. You may use them only for your personal use of the service and may not copy, distribute, or create derivative works without our written permission.

20. Electronic Communications & Signatures

You consent to receive notices, receipts, disclosures, and agreements from us electronically, by email or through our website, and agree that they satisfy any legal requirement that they be in writing. You agree that your electronic signature or click-to-accept on any Dalthera document has the same effect as a handwritten signature. You may request a paper copy of any agreement by emailing us.

21. Governing Law

The Agreement is governed by the laws of the State of Texas, without regard to conflict-of-law principles, except that Section 22 is governed by the Federal Arbitration Act.

22. Dispute Resolution; Binding Arbitration; Class Action Waiver

Informal resolution first. Before starting any arbitration or court action, you and Dalthera agree to try to resolve the dispute informally. The party raising the dispute must send the other a written notice describing the dispute and the relief requested (to us at Jack.Hooper@dalthera.com; to you at the email on your account). If the dispute is not resolved within 30 days after notice, either party may begin arbitration.

Binding arbitration. Except as stated below, any dispute, claim, or controversy arising out of or relating to the Agreement, the Kit, or our services, including the validity or scope of this Section, will be resolved by binding individual arbitration administered by the American Arbitration Association (“AAA”) under its Consumer Arbitration Rules then in effect. The arbitration will take place in Dallas County, Texas, or, at your election, by video conference or in the county where you live. Payment of filing, administrative, and arbitrator fees will be governed by the AAA Consumer Arbitration Rules. The arbitrator may award the same individual relief a court could award.

Exceptions. Either party may (a) bring an individual claim in small claims court in your county of residence or Dallas County, Texas, if it qualifies, and (b) seek injunctive relief in court to protect intellectual property or to recover Core Equipment.

Opt-out. You may opt out of this Section 22 by emailing Jack.Hooper@dalthera.com within 30 days after you first accept these Terms, stating your name, the email on your account, and that you opt out of arbitration. Opting out does not affect any other part of the Agreement.

Severability. If the class action waiver is found unenforceable as to any claim, that claim must be severed and heard in court, and the remaining claims will proceed in arbitration. If any other part of this Section is found unenforceable, the rest of it remains in effect. Any claim not subject to arbitration will be brought exclusively in the state or federal courts located in Dallas County, Texas.

23. Changes to These Terms

We may update these Terms from time to time. We will post the updated Terms with a new effective date and, for material changes, notify active subscribers by email at least 30 days in advance. Changes apply prospectively, and continued use of our services after the effective date constitutes acceptance. Changes to Section 22 will not apply to any dispute of which we had notice before the change.

24. General

  • Force majeure: We are not responsible for delays or failures caused by events beyond our reasonable control, including carrier disruptions, supplier shortages, severe weather, or public emergencies.
  • Assignment: You may not assign the Agreement. We may assign it in connection with a merger, sale, or reorganization of our business.
  • Severability: If any provision is found unenforceable, the remaining provisions remain in full effect.
  • No waiver: Our failure to enforce a provision is not a waiver of our right to enforce it later.
  • Entire agreement: The Agreement is the entire agreement between you and Dalthera regarding its subject matter and supersedes any prior statements or understandings.
  • Survival: Sections relating to payment, return of equipment, disclaimers, limitation of liability, indemnification, and dispute resolution survive the end of your subscription.

7. Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If a security breach affects your personal information, we will notify you as required by law.

8. Data Retention

We keep your information for as long as your subscription is active and you possess Kit equipment, and afterward for as long as reasonably needed for legal, tax, accounting, and dispute-resolution purposes (generally up to seven years for financial and signed records). We delete or de-identify Health Information we no longer need.

9. Your Rights & Choices

Depending on your state of residence, you may have the right to request access to, correction of, deletion of, or a copy of the personal information we hold about you, and to withdraw any consent you have given. We will honor these requests for all customers, regardless of state, subject to information we must keep for legal or operational reasons. To make a request, email Jack.Hooper@dalthera.com. Some states, including Washington, Nevada, and Connecticut, give residents additional rights over “consumer health data.” The Health Information described in Section 1 may be consumer health data under those laws. We collect it only to provide the service you request, or with your consent; we share it only as described in Section 4; and we never sell it. You may request access to or deletion of your consumer health data, a list of the third parties we have shared it with, or withdraw your consent, by emailing Jack.Hooper@dalthera.com.

Kit Rental & Return Agreement

Ten Sails LLC d/b/a Dalthera · Effective October 12, 2026 · Dallas, Texas

1. Purpose

This Kit Rental & Return Agreement (“Rental Agreement”) is between you and Ten Sails LLC d/b/a Dalthera (“Dalthera,” “we,” “us”). It governs the physical Kit provided with your Dalthera subscription, including ownership, care, return, and the charges that apply if equipment is not returned or is returned damaged. It is part of, and incorporates, the Dalthera Terms of Service. If the two conflict on a matter concerning the Kit, this Rental Agreement controls.

2. Kit Contents

Your Dalthera Kit includes the following items:

Core Equipment (must be returned):

  • Cold Caps (4)
  • Rolling Cooler (1)
  • Soft Cooler (1)
  • Cold Gloves & Socks (3 sets)
  • Head Straps (all)

Personal Care Items (yours to keep):

  • Dry Ice Gloves
  • Thermometer
  • Timer
  • Head Protection
  • Hairline Protection
  • Ear Protection
  • Sensitive Toothbrushes
  • Satin Pillowcase
  • Shower Cap
  • Chemo Hair Brush

Dry ice is not included. You are responsible for purchasing dry ice locally for each treatment, as described in your instructional materials. Your packing slip lists the exact items shipped to you, and it controls if it differs from the list above.

3. Inspection on Arrival

Please inspect your Kit as soon as it arrives. Notify us at Jack.Hooper@dalthera.com within 48 hours of delivery if any item is missing, damaged, or not working, and we will replace it at no charge. If you do not notify us within 48 hours, the Kit will be treated as received complete and in good condition.

4. Ownership

The Core Equipment remains the property of Dalthera at all times. Your subscription gives you the right to use it, for the patient named on your account only, while your subscription is active. You may not sell, lend, sublease, pledge, alter, or transfer any Core Equipment.

5. Cleaning, Care & Hygiene

All Core Equipment is cleaned and sanitized between customers. During your rental, you agree to:

  • Clean the caps only as described in your instructional materials, and not with any product or method we tell you to avoid. You do not need to wash the gloves, socks, or head straps; we launder them after return
  • Store the caps and coolers as instructed when not in use, and never puncture, cut, heat, or modify a cap
  • Use the Core Equipment only for cold capping the patient named on your account
  • Before packing for return, remove all dry ice, clean and fully dry the caps, and wipe out both coolers

6. Monthly Fee & No Deposit

Your rental is billed at $349 per month, plus any applicable sales tax, under the Terms of Service. No deposit is required. Instead, you keep a valid payment card on file, and you authorize Dalthera to charge that card for the amounts described in this Rental Agreement.

7. Returning Your Kit

  • Notify us: Email Jack.Hooper@dalthera.com (or use your online account, if available) when your treatment ends or you want to cancel. We will email you a prepaid return shipping label.
  • Pack and ship: Pack all Core Equipment in the original box your Kit arrived in, attach the prepaid label, and drop it off with the carrier. Never include dry ice. Please keep the original box for this purpose; if it is lost or damaged, contact us before shipping. We recommend shipping within 14 days so you are not billed for another month.
  • Return date: Your return date is the date the carrier first scans your package using our prepaid label. Keep your drop-off receipt. Once your package has been scanned, we bear the risk of loss in transit.

8. Billing Until Return

Because the monthly fee is a rental fee for the Kit, billing continues until the Core Equipment is returned:

  • If your return is scanned before your next billing date, you will not be charged again.
  • If your return has not been scanned by your next billing date, the regular $349 monthly fee will be charged on that date and on each later billing date until the return is scanned, up to the 30-day point described in Section 9.
  • Monthly fees are not prorated or refunded for partial months.

9. Unreturned Equipment

If any Core Equipment has not been scanned for return within 30 days after you notify us that you are cancelling (or after we cancel your subscription for non-payment), we will:

  • Email you a reminder at least 7 days before the 30-day point
  • Stop monthly billing at the 30-day point, and
  • Charge your card on file the replacement cost of each unreturned item listed in Schedule A, up to the total Kit replacement cost shown there

Late returns: If you return the unreturned items within 30 days after the replacement charge, in good condition, we will refund the replacement charge, less any monthly fees and damage charges owed under this Rental Agreement.

10. Condition Standards & Damage

“Good condition” means the Core Equipment is complete, clean, functional, and free of damage beyond normal wear and tear. Normal wear and tear does not include missing items, punctured, leaking, cracked, or non-functional caps, broken cooler handles, wheels, zippers, or lids, or torn gloves, socks, or head straps.

If returned Core Equipment is damaged beyond normal wear and tear, we will email you photos and a description of the damage within 10 days after we receive it, and may then charge your card on file the replacement cost of each damaged item listed in Schedule A. You may respond within 7 days if you believe the charge is in error, and we will review it in good faith.

11. Loss or Theft

If your Kit is lost or stolen while in your possession, notify us as soon as possible. Loss or theft does not relieve you of the charges in this Rental Agreement, but we will work with you in good faith on individual circumstances, and we may ask for a police report or carrier claim number.

12. Card-on-File Authorization

13. Term

This Rental Agreement remains in effect for as long as you possess any Dalthera Core Equipment or owe any amount under it, whether or not your monthly subscription is active.

14. Governing Law & Disputes

This Rental Agreement is governed by the laws of the State of Texas. Any dispute relating to it is subject to the informal resolution, binding individual arbitration, and class action waiver provisions of Section 22 of the Dalthera Terms of Service.

Policies

Cancellation, Refund & Shipping Policy

How billing, cancellation, refunds, shipping, and returns work, in plain language.

This page summarizes how cancellation, billing, refunds, shipping, and returns work. The full terms are in our Terms of Service and Kit Rental & Return Agreement, which control if anything here differs.

Price & automatic renewal

  • $349 per month, plus any applicable sales tax. No deposit.
  • Your first charge is made at signup. Your subscription renews automatically on the same calendar day each month, charged to the card on file, until you cancel and your equipment is returned.
  • We email you a receipt for every charge. We'll give active subscribers at least 30 days' notice by email before any price change.

How to cancel

You can cancel at any time, online at Manage or cancel subscription or by emailing Jack.Hooper@dalthera.com. We'll confirm your cancellation by email and send you a prepaid return shipping label.

When billing stops

  • Your subscription ends on the date the carrier first scans your returned equipment using our prepaid label.
  • If that scan happens before your next billing date, you won't be charged again. If it doesn't, the monthly fee is charged on your normal billing date until the return is scanned.
  • We recommend shipping within 14 days of cancelling so you aren't billed for another month.

Refunds

  • Monthly fees are not prorated or refunded for partial months, except as described below or as required by law.
  • If anything in your kit arrives missing, damaged, or defective, tell us within 48 hours of delivery and we'll replace it at no cost.
  • If we can't deliver a working kit before your first scheduled treatment, you may cancel and receive a full refund of the first month's fee once the kit is returned.
  • If we decline or cancel your subscription because the kit isn't appropriate for the patient, we refund any amount paid for a month in which the kit hasn't shipped.
  • If we cancel your subscription for a reason other than a breach of the agreement, we refund fees paid for the period after cancellation.

Shipping

  • We currently ship only within the contiguous United States (the lower 48 states and DC), and not to P.O. boxes or military APO/FPO addresses. Standard shipping to you and the prepaid return label are included in your subscription.
  • Delivery dates are estimates. Because cold capping must begin with your first eligible infusion, we strongly recommend subscribing well before your first treatment date.
  • Dry ice is not included. You'll buy it locally for each treatment, following our instructions.

Returns

  • Return the Core Equipment (cold caps, rolling cooler, soft cooler, cold gloves & socks, and head straps) in the original box using our prepaid label. Never include dry ice. Personal care items are yours to keep.
  • Once the carrier scans your package, we bear the risk of loss in transit.
  • If Core Equipment hasn't been scanned for return within 30 days after you cancel, we'll remind you at least 7 days before that point, stop monthly billing, and charge the replacement cost of the unreturned items. If you return them in good condition within 30 days after that charge, we'll refund it, less any fees owed.
  • Equipment returned damaged beyond normal wear and tear may be charged at replacement cost. We'll email photos and a description first, and you'll have 7 days to respond.
